ServiCheck

This Privacy Policy explains how ServiCheck collects, uses, stores, and protects information related to its users.

ServiCheck is a platform designed to help organizations and teams manage tasks, checklists, operational evidence, attendance, members, and work processes.

For purposes of this Privacy Policy and the processing of personal data, the responsible party is:

By using ServiCheck, the user acknowledges having had access to this Privacy Policy.

1. Information We Collect

Depending on the features used, ServiCheck may collect and process the following categories of information.

1.1 Account and Identification Information

We may process information needed to create and administer an account, including:

  • Full name.
  • Email address.
  • User identifier.
  • Account type.
  • Role.
  • Access level.
  • Position.
  • Supervisor.
  • Organizations to which the user belongs.

Passwords and authentication processes are managed through our authentication provider. ServiCheck does not directly store user passwords in its own application tables.

1.2 Organization Information

Organizations that use ServiCheck may provide information such as:

  • Organization name.
  • Description.
  • Physical address of the establishment.
  • Location coordinates of the establishment.
  • Authorized radius for location validations.
  • Time zone.
  • Organization logo.
  • Members.
  • Positions.
  • Teams.
  • Organizational structure.

1.3 Tasks, Checklists and User-Generated Content

ServiCheck stores information related to an organization's operations, which may include:

  • Templates and tasks.
  • Checklist items.
  • Assignments.
  • Task statuses.
  • Dates and times of completion.
  • The user who performed an activity.
  • Comments.
  • Responses or evidence related to tasks.
  • Photographs used as evidence.
  • Information related to reports and operational activity.

This information may be linked to the corresponding user and organization.

1.4 Photographs

Some tasks may require photographic evidence.

With the user's authorization, ServiCheck may access the device camera or photo library to allow image selection or capture.

Photographs submitted as evidence may be stored in private infrastructure used by ServiCheck and associated with the corresponding task, user, or organization.

ServiCheck does not use these photographs for advertising purposes or to track users across third-party applications or services.

1.5 Precise Location

ServiCheck uses precise location for certain features that require verifying that a person is physically present at an authorized location.

This may occur, for example, when a user:

  • Clocks in for attendance.
  • Clocks out for attendance.
  • Performs certain protected actions related to tasks.
  • Submits evidence that requires in-person verification.

When one of these features requires it and the user has granted permission, ServiCheck may obtain information such as latitude and longitude, estimated location accuracy, and available technical information that helps detect certain simulated locations.

ServiCheck requests location while the application is in use. The current implementation does not continuously track location in the background.

Location information used to verify attendance or in-person actions may be sent and stored together with the corresponding record, including clock-in and clock-out records and task verifications.

Location is used for operational functionality and in-person verification. It is not used for advertising or to track the user across other applications, websites, or services.

1.6 Subscription Information

ServiCheck may store information related to an account's plan or subscription, including:

  • Subscription status.
  • Plan type.
  • Customer identifiers provided by our payment provider.
  • Subscription identifiers.

When a payment is made through our website, payment information may be processed directly by the corresponding payment provider.

ServiCheck does not directly store full bank card numbers or equivalent card information used to make a payment.

1.7 Preferences and Application Activity

We may store information necessary for ServiCheck to function, such as:

  • Notification preferences.
  • Operational task status or history.
  • Dates and times associated with certain actions.
  • Records of onboarding flows or features the user has already seen.
  • Information necessary to correctly display the status of tasks, reports, and operational processes.

This information is used to provide ServiCheck's features and maintain the correct state of the account and organization.

2. How We Obtain Information

We may obtain information:

  • Directly from the user when registering or using ServiCheck.
  • From organization administrators who configure members, positions, or assignments.
  • Through actions performed within ServiCheck.
  • Through permissions granted by the user, such as camera, photo library, or location access.
  • Through technology providers necessary to operate the service.

3. How We Use Information

Information is used primarily to:

  • Create, authenticate, and administer accounts.
  • Manage organizations and their members.
  • Apply roles and permissions.
  • Create, assign, and complete tasks and checklists.
  • Store evidence and comments associated with tasks.
  • Generate operational information and reports.
  • Validate attendance and physical presence.
  • Administer settings and preferences.
  • Manage plans and subscriptions.
  • Send transactional communications related to the service.
  • Protect accounts, organizations, and information against unauthorized access.
  • Maintain and operate ServiCheck.

ServiCheck currently does not use personal information for third-party advertising, behavioral advertising, or tracking across applications or websites.

4. Location and Attendance

An organization may configure an establishment's address and coordinates together with an authorized radius.

When a user performs an action that requires physical presence, ServiCheck may compare the device location with the location configured by the organization.

Location records related to clock-ins, clock-outs, or task verifications may be retained as part of the organization's operational history.

Location access depends on device permissions.

If the user does not authorize location access, certain features that require in-person verification may not be available.

5. Service Providers

ServiCheck uses technology providers to operate certain features.

These may include Supabase for authentication, database, private storage, server functions, and other infrastructure services; Expo and related React Native technologies for mobile application features such as location, camera, image selection, and notifications; Resend for certain email communications; Stripe for web billing and subscription processes; and infrastructure and hosting providers necessary to operate the website and associated services.

These providers may process only the information necessary to provide the corresponding functions, in accordance with their respective terms and applicable law.

6. Advertising, Analytics and Tracking

ServiCheck currently does not integrate advertising SDKs or use advertising identifiers to track users across applications or websites.

We also do not use location information, photographs, name, email address, or operational content for behavioral advertising or third-party tracking purposes.

If our practices change in a way that materially affects data processing, this Privacy Policy will be updated.

7. Data Retention

We retain information for as long as necessary to provide ServiCheck, maintain the relationship with the user or organization, fulfill the purposes described in this Policy, and address applicable legal, contractual, security, or dispute-resolution obligations.

ServiCheck currently does not establish a single automatic deletion period that applies to every category of information.

Different types of information may be retained for different periods depending on their purpose and the existing relationship with the user or organization.

8. Account and Data Deletion

ServiCheck allows users to initiate account deletion from the mobile application.

Deleting an account starts the deletion process for the authentication account and associated information that applies under the structure of the service.

When the user owns an organization, account deletion may also involve deleting the organization and associated records according to the relationships configured in the system.

Some records, files, or copies may require additional deletion or retention processes when needed for legal, contractual, technical, or security obligations.

9. Security

ServiCheck applies technical and organizational measures designed to protect information against unauthorized access, use, modification, or disclosure.

These measures include, as applicable:

  • User authentication.
  • Access controls and permissions.
  • Separation of information between organizations.
  • Database access policies.
  • Private storage for certain files.
  • Secure transmission of information.

10. Your Data Rights

In accordance with applicable law, data subjects may exercise their rights of access, rectification, cancellation, and objection, known in Mexico as ARCO rights.

They may also request, where applicable, that certain uses or disclosures of their data be limited, or object to processing in cases permitted by law.

The request must allow us to identify the data subject and clearly understand the right they wish to exercise.

We may request information reasonably necessary to verify the requester's identity and protect information against fraudulent requests.

Requests will be handled within the timeframes established by applicable law.

11. Data Sharing and Transfers

ServiCheck does not sell personal data.

We may disclose or allow processing of information by providers necessary to operate the service, including infrastructure, storage, authentication, email, and payment services.

We may also disclose information when legally necessary to comply with a valid authority order, protect legal rights, or address applicable obligations.

When a transfer requires consent under applicable law, consent will be requested in the corresponding cases.

12. Children

ServiCheck is an operational management tool intended for organizations and their authorized users, and it is not specifically designed as a service directed to children.

Organizations that authorize a minor to use ServiCheck must ensure they have the authorizations required under applicable law.

13. Changes to this Privacy Policy

We may update this Privacy Policy when our practices, features, providers, or legal requirements change.

The date of the last update will appear at the beginning of this page.

When appropriate based on the nature of the change, we may communicate relevant modifications through ServiCheck, email, or other reasonable means.
